The kind of booth an operator takes seriously

WasteExpo draws the people who run routes, transfer stations, MRFs and landfills, and the municipal buyers who specify for them. They are practical, they know the equipment better than most sales teams, and they came to compare. The work below is what we build for engineering, systems and technology companies: structures that frame the product rather than competing with it, with somewhere to sit down and talk numbers, carried by one team from first rendering to dismantle.

Know the floor before you plan the booth

At WasteExpo the product often weighs more than the booth

Collection vehicles, balers, shredders, optical sorters, containers — a large share of this floor is heavy equipment, and the booths are planned around it. That changes the order of operations: the machine’s position, weight and move-in slot come first, and the exhibit is designed to the space that leaves. Software and services exhibitors face the opposite problem — being seen at all between rows of trucks.

The Las Vegas Convention Center handles heavy equipment routinely, but on its own sequence: vehicles and machinery are spotted on the floor before surrounding booths are built, on a schedule the general contractor sets. Miss the spotting window and the machine may not reach its mark. We design around the confirmed equipment footprint, keep flooring and structure clear of the move-in path, and time our install to follow the iron, not fight it.

If you sell routing software, telematics, parts or financing, your neighbours may be twelve feet tall and painted safety green. Height, a hanging sign where the hall permits it, and one clear statement readable from the aisle do the work that square footage can’t. We plan sightlines from the actual floor plan — including what the equipment next door will block.

The May calendar

Two years between editions

A May show puts the advance-order cutoff in early March. And with WasteExpo moving to every other year, this booth has to carry product launches and customer meetings that used to be spread across two editions — more reason to lock the design while full freedom is still available, and less tolerance for a floor-rate surprise eating the budget.

Billed by the show, not by us

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

Why a fixed price matters most here

The budget you present in winter should survive May

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

Your real deadline is in early March

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For an early-May show that puts the binding constraint in the first half of March. If equipment is going on the floor, its dimensions and weight have to be final before that, because the material-handling estimate and the layout both depend on them.

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in January costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled, powered and lit at our facility, photographed for your sign-off before it leaves for Las Vegas. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. With machinery on the floor, material handling is usually the largest show-billed line at WasteExpo, and the advance-versus-floor spread on it is real money — if a vendor can’t answer this immediately, that’s your answer.
5 Who coordinates our equipment move-in with the booth install? Ours: your project manager — because the machine is spotted before the booth is built, and a structure designed without that sequence ends up in its way. A vendor who treats the truck as someone else’s problem will discover the conflict on the show floor. Ask them directly.

How much does a WasteExpo booth rental cost?
Every booth on this page is published with its Las Vegas price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show, the venue and the show’s general contractor bill you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth — including any machinery — before you commit, so the total is known before you sign anything.
When should I book a booth for WasteExpo?
Lock your design by early March. With two years between editions, most exhibitors are bringing more to this floor than they used to, so start in the autumn for full design freedom. The exact advance-order deadline for the next edition is in the facts strip at the top of this page and updates automatically.
We’re bringing a truck or heavy machinery. How does that change the booth?
It changes the order of everything. Equipment is spotted on the floor before surrounding booths are built, so we confirm its footprint, weight and move-in slot first and design the structure, flooring and cable runs around it. Your machinery freight is billed by the general contractor; we estimate it up front and coordinate the timing so the iron and the install never collide.
We sell software or services. How do we compete visually with equipment booths?
With height, light and one message. Among twelve-foot vehicles a low inline disappears, so we use the vertical allowance your space permits, a hanging sign where the hall allows it, and a single statement readable from the aisle — then a demo position and seating that reward the people who stop.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
The Las Vegas Convention Center floor runs on contracted union labour, and the show’s general contractor governs who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a WasteExpo booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a May show, the earlier in the new year you call, the more of that window sits at advance rather than floor rates.
Do you handle customer events off the show floor?
Yes — hotel suites, hosted dinners and customer receptions around Las Vegas run under the same fixed-price model, coordinated by the same project manager as your booth.
