An international energy exhibitor at OTC often has genuinely unavoidable freight — demonstration hardware that is the point of the appearance. That shipment is priced, insured and specialist-handled. On the venue’s invoice in both scenarios: the hardware’s freight, its customs entry, its drayage and its rigging into position — the unavoidable cost of exhibiting the product, and we coordinate its arrival alongside the stand build either way. The difference is whether the stand added a second set of every one of those lines.

Worth knowing before you plan

Houston’s summer heat and autumn storm season are freight-planning facts: temperature-sensitive loads schedule around heat windows, and hurricane-season dates carry weather margin with the pre-build photo gate held earlier — a storm should cost the plan a buffer, never the stand.

How much does an exhibition stand cost in Houston?
The table above is the answer: $13,000 – $15,500 for a 3×3 m (10×10) through $60,500 – $71,500 for a 9×12 m (30×40) — design, fabrication, graphics, furniture, freight, crews and management in one contractual USD figure. The venue bills space, electrical, drayage and rigging separately to every exhibitor; we forecast those lines against your stand before you sign.
We have no US company. Can we still work with you?
Yes — a large share of our clients exhibit in the US with no local presence at all. We invoice the fixed figure in USD to your home-country entity, accept international wire transfer and card, and provide the contract and payment documentation your finance team needs. No US bank account, address or subsidiary required.
Is it really cheaper to build in the US than to ship our stand?
Total both directions of ocean freight, insurance, customs or carnet fees, drayage on the full crated weight, and US labour assembling an unfamiliar metric kit, and the answer is nearly always yes — the comparison above walks through it line by line. The part no spreadsheet captures: a stand damaged mid-ocean weeks before your show has no good outcome. Building locally deletes the risk along with the cost.
Can you rebuild the stand design we use at European shows?
Yes. Send photos or CAD of your existing stand and we rebuild the design to US materials, US electrical code, and the height, rigging and setback rules of your specific show. Most designs translate directly; anything a regulation forces gets flagged at render stage — visible from your desk, months out — not on the show floor.
What is drayage, and is it in your price?
Drayage (material handling) is the venue’s fee for moving freight between dock and stand space, billed by weight and invoiced directly to every exhibitor — no vendor can legitimately include it, and any who claims to has buried it. We forecast the line precisely against your actual stand before you sign, then file inside the advance-rate window. A locally built stand also simply weighs less at the dock than an imported crate, which is the honest way that bill shrinks.
Can our own crew build the stand in Houston?
Texas gives exhibitors more latitude than the union cities, but each show’s regulations still govern what you may do yourself — and OTC-scale builds with rigging are crew work under any of them. Our fixed price carries the crews and supervision; your engineers arrive to commission hardware, not to build walls.
Our subsea hardware ships from Norway. Can you coordinate with our freight forwarder?
Yes — it’s standard on OTC projects. Your forwarder runs the hardware’s ocean leg and customs entry; we run the stand build, floor-loading filings and venue services, and we coordinate the hardware’s dock arrival and rigging into position alongside our install window. One calendar, two freight streams, and a stand engineered around the hardware before either ships.
NRG Park or George R. Brown — does the venue change the project?
Substantially. NRG runs sprawling-campus logistics with heavy-rigging traditions and its own marshalling rhythm; GRB is a conventional downtown hall. The venue sits on your space contract, it’s the first thing we read, and the freight plan, install sequence and sometimes the stand’s engineering follow from it.
How do approvals work across time zones?
Mostly asynchronously: renders and revisions move by email on a one-to-two-day cycle, and live calls are scheduled in your morning. The project has two hard checkpoints you can verify from anywhere — approved 3D renders before fabrication, and photographs of your completed, powered stand before it ships to the venue. We run projects with teams across Europe, the Gulf and Asia-Pacific on every major show cycle.
