The NADA Show runs franchise meetings, workshops and main-stage sessions alongside the expo, and dealers move between them on a schedule. The floor empties and fills several times a day. A booth built for a steady trickle is overwhelmed for forty minutes and idle for the next hour; one built for the wave has enough stations, enough staff positions and enough seats to hold a dealer group when it lands.
The NADA Show moves between host cities, and this edition uses the West Concourse of the Orange County Convention Center. Every move resets hall heights, rigging rules, dock procedures and labour jurisdiction, so last year’s drawings cannot simply be re-filed. We rebuild the plan for the building in front of us, and because the expo sells out, the space you hold is the space you will have — the design has to be right for that exact position.
Dealer groups evaluate together, then want somewhere private to talk price and contract terms. That means several simultaneous demo positions at the aisle and enclosed or screened meeting space behind them, with sound separation good enough for a real negotiation. Vehicles on the stand add their own rules on fuel, batteries and floor protection, which we clear with the show before design is locked.
A mid-February show puts the advance-order cutoff in the second half of December, in the last working days before the holiday break — the worst week of the year to need a signature. At the other end the expo closes on a Saturday, so dismantle and outbound freight run on weekend labour unless they were planned and booked well ahead.
Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.
Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For a mid-February show that puts the binding constraint in the second half of December, days before most approvers leave for the year.
