The show changes buildings. The plan has to change with it.
This edition of the NADA Show runs in the Orange County Convention Center, West Concourse, Orlando. What follows is how the building, the show’s rules and the official contractor shape a booth plan here — freight, move-in, who may do what on the floor, rigging, and where your team will actually spend its days.
The whole show — expo, sessions and meetings — sits in the West Concourse at 9800 International Drive. NADA runs a targeted move-in: every space is assigned a move-in day, freight is scheduled to land on it, and the official contractor delivers it to your space. Move-in opens Monday, February 15.
Schematic, not a floor plan · advance-warehouse and direct-to-show routes both converge on your target move-in day
Freight ships ahead to the official contractor’s warehouse and is delivered to the space on your target day. It costs more per hundredweight and buys certainty — our default for anything that cannot be late.
Freight arrives at the docks on your target day with show-site labels. Miss the day and it waits; the contractor does not guarantee placement in your space by move-in. We use it only with a carrier we control.
Cartons a person can carry, through the designated hand-carry areas or the main entrance. Anything on a cart or a dolly is material handling and is billed as such.
Labour rules change with every host city, and they are the most re-filed assumption in NADA planning. For this edition, here is what the show’s own documents say — and what that means for the plan.
| Work | Who does it here | What it means for your booth |
|---|---|---|
| Material handling | Freeman, the official services contractor | Every crate between dock and space is a billed line, priced by weight. Crate count and weight are designed down from the first drawing. |
| Booth cleaning | Freeman; exhibitor-appointed contractors may not vacuum or run floor equipment | Ordered in advance with the other show services, never left for show day. |
| Electrical, plumbing and utilities | The official contractors named in the exhibitor service kit, without exception | Every screen, demo station and light is an order line. We calculate circuits from the drawing and file at advance rates. |
| Booth setup and dismantle | Your own full-time employees, the official contractor, or a credentialed exhibitor-appointed contractor | We work as your EAC: credentials, certificate of insurance and client list submitted to show management on time, with our own supervisor on site. |
NADA’s guidance for Orlando is that union labour may be required for certain aspects of exhibit handling. The exhibitor service kit is the authority on which ones. We read it for this edition rather than carrying over a rule from the last city.
A NADA hanging sign is a three-part approval: show management signs off the request and drawings, the contractor schedules rigging from approved requests, and the venue’s rigging plan sets what the hall can carry where. For this edition, the hanging-sign request form and the sign’s layout and specs are due to show management by January 6.
Heights are never quoted from memory, because they differ by hall, by bay and by booth type. We take the numbers from this edition’s regulations for your assigned position, then design the structure and the sign to read across the West Concourse from the aisles dealers actually use.
Add rigging to your budgetNADA’s official housing opens to registered attendees, and hotels walkable to the West Concourse go first. For staff working a booth from move-in to the Saturday close, proximity is a staffing decision, not a perk.
Suites, receptions and hosted dinners along International Drive can run on the same fixed-price model as the booth, under the same project manager — so the brand a dealer sees at dinner matches the one they met on the floor.
The expo closes on a Saturday, so dismantle and outbound freight run into the weekend. We book the crew and the carrier with the inbound plan, not after the show.
Tell us your footprint, your position on the floor if you have it, and how many dealer conversations the booth has to hold at once. Concepts and one fixed price come back within 24 hours, with what the show will bill you directly already calculated.
